Project details window
Applicable to: TimeGuard Network | TimeGuard Pro
In this window you add a new project or
edit an existing project.

Legend:
- 'Project name' field.
- 'Project manager' list: the name of the
project manager. The project manager can see all the information that relates
to this project, including all the related reports.
- Start date: the default is today's date, but you
can set it manually.
- Project status: the following statuses are
available:
- 'Not started'.
- 'Open'.
- 'On hold'.
- 'Closed' is available when editing an existing
project.
- 'Re-opened' is available when you edit
a 'Closed' project.
Note: 'On hold' or 'Closed'
projects will NOT appear in the project selection lists, in the Input window
and in the 'Switch Task' windows. It helps reducing the number of items in
the lists and ease the navigation. It's recommended to change the status of
inactive projects to either 'Closed' or 'On-hold'.
- The status date: the
date that the status was applied to the project.
- Client name: select from the list.
- Default currency: the default currency of the
project which is used for billing. After saving the project, the default
currency cannot be changed.
Note: employees can report
expenses using any currency and are not bound to the project's default
currency.
- 'Billing
type': 3 billing types are
available in the billing type list: 'Per-hour', 'Fixed price' and
'Retainer'.
After saving a new project, it is not possible to
change the billing type of the project.
If the
project is per-hour project the 'Hour rate' field are visible. If the project
is a 'fixed price' project, the 'Fixed price' field is visible. If the project
is a 'Retainer' type, the retainer fields are visible.
- 'Default hour
rate' is the default per-hour rate of the project. This rate will be automatically
applied to new project's
articular task types , and can be edited
manually.
Note:
If employee rates are used,
they will override the project's default rate, or the 'Particular task types'
rates.
- 'Estimated time' field: the estimated project time.
- 'Actual time' field: the actual number of work
hours that were performed for the project by all the employees.
- 'Time left' field: the number of work hours to
reach the estimated time.
- 'Actual/Est. ratio': the percentage ratio between
the actual time and the estimated time.
- 'Remarks' field: a field for remarks that are
related to the project. The remarks are visible only in the 'Project Details'
window.
- 'Save Project' button: click this button to save
or update the project details. If required details are missing, TimeGuard will
ask to fill the missing details.
- 'Balance': the residue after reducing the expenses
from the project's total billing or price.
- 'Total expenses' field: if all the project
expenses were reported using one currency, the total will be displayed. If a
few currencies were used, the total will not be displayed and you would have
to use the 'Expenses report' to view the totals.
- 'Per-hour billing' field or 'Price' field: the
project's total billing or price.
- 'Alert if
exceed est.' checkbox: If you want TimeGuard to alert when a project
exceeds a specified
number of hours:
- Type the value in the 'Estimated time' field.
- Check the 'Alert when exceed est.'
checkbox.
When TimeGuard detects that a
project's actual time passed its estimated time, it will show a warning
message to the employee.
TimeGuard will then ask the employee if to
show this message to other employees when working on that project.
If the
answer is 'No' TimeGuard will not warn again.
- 'Currencies' link: if the currencies list does not contain
a certain currency, click on the 'currencies' link. The 'Manager
Tools' window will then open in the currencies section.
- 'Clients'
link: if the clients list does not contain
a certain client, click on the 'currencies' link. The 'Manager
Tools' window will then open in the clients section.
- 'ID and Order' link: opens the 'Project ID &
Order Number' dialog (see image). In this window you can set the project ID
and order number. The project ID can't be changed after saving the project
and closing the 'Project Details' window.
